Consulting Support Manager
The Alexander Group, Inc. is a management consulting organization operating out of six cities in the United States. We are seeking a professional juggler – someone who is energetic, intelligent, enjoys working in a small office environment each day – clearly understands and enjoys supporting multiple team members – has sound technical skills - and who takes initiative in completing projects and workload related activities.

The Consulting Support Manager has three primary areas of responsibility:

(1) Marketing support, which includes administration of our contact management system, focused company/ industry research report generation, and support with special marketing projects as required.

(2) Client support services, including document development, proofreading, and binding.

(3) Office management, including day-to-day office administration and administrative support to our consulting and management staffs.



RESPONSIBILITIES

Duties and responsibilities of this position include, but are not limited to the following:

Marketing Support

• Participation in the creation of marketing pieces.

• Data entry and maintenance of the salesforce.com contact management system, including reports.

• Conduct on-line company/ industry research as needed.

• Assist with client and target list cleansing.

• Assist with special projects.

• Prepare distribution material for association speeches.

• Track inventory of marketing material for entire firm.

Consultant Support Services

• Operate all office computer equipment and software effectively. Individual must be an advanced user of both Microsoft Word and PowerPoint. Candidates must possess sound basic MS Excel skills – creating spreadsheets, formulas, importing/exporting data. (Candidates will be tested)

• Create/type and accurate proofreading of proposals, presentation reports, discussion guides, interview notes, general correspondence, billing letters and other documents within production deadlines. Original drafts may be submitted to the CSM in electronic format or handwritten.

• Consistently produce documents in accordance with the AGI Standards Manual. Complete report assembly, including copying, collating and binding reports.

• Liaison with outside resources including transcription and printers.

Office Management

• Supervise all administrative and production aspects of the office.

• Maintain and file office documentation on a timely basis (i.e., correspondence, reports, facsimiles, sorting mail, etc.).

• Handle accounting duties specific to reconciling office supply invoices and petty cash.

• Find creative solutions for problem solving.

• Liaison with office vendors regarding supplies, express delivery, water, etc.

• Responsible for neat and orderly appearance throughout entire office, particularly in reception area and kitchen/production room. Contact building maintenance personnel for timely office repairs.

• Assist with new hire orientation (training new hires in the voice mail, email and telephone system usage). Per documented procedures, work closely with new hire on how to submit timesheets, expense reports, etc.


REQUIREMENTS

• Four year college degree required.

• Strong ability to create presentation documents including graphics, text boxes, tables, forms, charts etc. using PowerPoint. Competence in producing Word documents (letters and correspondence) required. Excel skills required – spreadsheet/formula creation, basic data analysis and subsequent Powerpoint graph creation from said data.

• Strong use of Microsoft Outlook Calendar.

• Ability to produce high quality work with minimal errors.

• 65 wpm accurate typing skills.

• Ability to prioritize work and meet competing or short-notice deadlines consistently.

• Demonstrated organization skills.

• Excellent written and verbal communication skills.

• Motivated self-starter with ability to juggle multiple tasks simultaneously.

• Professional appearance and demeanor.

• Ability and flexibility to work extended hours as work necessitates.

• Ability to learn new software quickly.
