Administrator Organization and Job ID Job ID:118982 Directorate: Internal Audit Job Description This position is accountable for providing executive-level administrative assistance to the Director, Office of Internal Audit and eight staff members. In addition, the position is responsible for maintaining an adequate system of internal control within the Office of Internal Audit Directorate to ensure operations, business objectives and commitments are in compliance with applicable policies, rules and regulations. incumbent works independently by initiating action where appropriate, using independent judgment and discretion with internal and external clients. The incumbent is a recognized resource within the directorate providing a high level of contribution to final products. ven by the complexity of the Director's job, the incumbent addresses the full range of business and administrative issues. In addition to coordinating meeting schedules and or travel arrangements, the Administrator develops, reviews and updates administrative procedures; researches and abstracts information in preparation for meetings, projects and reports; organizes and expedites workflow through the organization; utilizes knowledge of key aspects of PNNL activities and responsibilities to initiate action and follow-up on administrative details. the audit function continuously evolves, it is important for the incumbent to identify areas for continuous improvement and work with others to develop solutions and streamlined methods with a propensity for a more efficient and productive work environment. incumbent exercises the ability to recognize and understand organizational issues and concerns, supports management and participates in its initiative/plans. The incumbent interacts positively with all staff and levels, suggests methods to improve effectiveness and demonstrates flexibility and acceptance of alternate approaches. incumbent interacts with high level contacts at Battelle Memorial Institute. Contacts include the Chief Financial Officer, the Vice President Corporate Internal Audit, the Columbus Audit Director, and their executive assistants. Interactions include participating in the preparation of the quarterly Business and Audit (B&A) Committee meeting. The IA Administrator works with the Columbus offices and PNNL's Chief Financial Officer to finalize presentations for the committee. The B&A committee presentations are used for the Columbus Board of Directors meeting, which follow the B&A committee meeting. addition to working with the PNNL, BMI, and BCO leadership, the incumbent works daily with the senior management and leadership staff from Oak Ridge Operations, PNSO, DOE/OIG, GAO, Grant Thornton, KPMG, Deloitte and Touche, LLC and BMI Sister Labs (UT-Battelle, BNL, INL, and NREL). The Director's involvement with professional organizations, DOE/Headquarters, and the Office of Inspector General as well as more frequent interactions with the BMI leadership increases the reliance upon the incumbent as the Director's assistant. incumbent works with the Contractors Internal Audit Directors (CIAD) Steering Committee and supports the CIAD organization with their current knowledge and understanding of the total operations of the Office of Internal Audit functions. The incumbent is able to independently answer many of their questions, and resolve most of their concerns. part of the Executive Assistant Team, which affects administrative matters across the Laboratory, the incumbent may have several opportunities to serve as a task or team lead.
