IntelliDyne-LLC is pleased to announce that we are seeking dynamic, experienced Asset Management Hardware Coordinator for our Aurora, Colorado office.
Mission Statement for the Department:
The mission of IntelliDyne's enterprise asset management program is to reduce potential liability by improving the accuracy of IT asset inventory and save money by reducing invoicing errors using IntelliDyne's comprehensive asset management solutions. IntelliDyne's enterprise asset management program enables organizations to achieve software compliance, reallocate and track IT assets, perform invoice reconciliation, and develop a database repository of IT assets. The overarching objective of IntelliDyne's enterprise asset management program is to provide efficient, timely, and accurate material support to the operational components of an organization. The overall outcome of IntelliDyne enterprise asset management program is a lower total cost of IT ownership.
Responsibilities: Mission Statement for the Position:
The Asset Mgmt Hardware and Software Coordinator reports to the Local Asset Manager and provides the following services as part of this comprehensive program:
. Equipment Accountability . Hardware/Equipment Management . Software Asset Management . Receiving, bar coding, database entry . Spot checks and annual audits/Physical asset reconciliation . Warehousing/Shipping . Procurement Support . Inventory Management . Equipment and Property Administration . RMA Support . Project Support
IntelliDyne's asset management teams coordinate and maintain current inventory and all associated records according to customer and IntelliDyne's standard policies and procedures. This position will directly support the Services Mission and tracks, maintains, manages all assets.
High level function/responsibility Percentage of time on task
Adhere to current Asset Management policy, process, and procedures. Assist in the development, modification, and peer review of Asset Management Policy, Process, and procedures. Support a cross functional environment to proactively manage all assets. . Work with AM team members, manager, and other groups as necessary to effectively capture best work flow options. These include but are not limited to: o Invoice Reconciliation o Software process, deployment, tracking, and monitoring o Hardware Management o Shipping and Receiving o Maintenance, Warranty, and Software agreements o RMA o Compliance Management . Disposal Management 25%
Maintain Argis Database for IntelliDyne
. Update data . Create primary and secondary relationships . Create new items in Argis and in Argis Administration . Maintain IntelliDyne catalog data . Update database with results from handheld scanners . Pull queries/create reports to aid in the management of data . Pull monthly and quarterly reports via established query's to monitor equipment levels, work load, etc. . Ensure Vertical Asset Management POCs at other locations are updating assets.

Manage Hardware warranties and renewal notifications
. Work with Procurement Specialist to obtain information to create legal documents for maintenance, warranty, support, service, and lease agreements . Set up event notifications for termination and renewal dates . Notify IT Support Services of impending renewals to gain approval . Submit requisition for purchase or contact vendor to cancel agreement . Perform Gap Analysis to ensure all maintenance, warranty, support, service, and lease agreements are tracked in Argis . Research need and usage of warranties as a deciding factor in their renewal. Contract Management for Hardware, Software, and support agreements . Make recommendations based on cost analyses for either renewing or discontinuing warranties when applicable

Hardware Management
. Receive equipment according to Receiving Inspection Procedure, Barcode Procedure, Control of Non-Conforming Product Procedure . Provide receipt information to procurement . Ship equipment when necessary to other IntelliDyne Offices . Maintain records . Coordinate delivery/installation with IT . Prepare outgoing equipment - RMAs (Return Material Authorizations) and DOAs (dead on arrival) . Perform hardware tracking, annual audits, and spot checks . Provide Equipment Accountability Report to HR and Managers for in and out processing of employees

Software Management - backup
. Create software folders for all software licenses/contracts . Read software license agreements for terms and conditions, make decisions regarding these rules and document them in lay terms . Propose new processes/procedures for the proactive management of software . Track installations via Argis . Aid in the documentation of IMAC processes between the Asset Management group and IT . Aid in scheduling internal software audits 5%
Other Projects as required
. Assist with requisition and approval process when required . Aid in equipment disposal per established policy and procedures 5%
Qualifications: Qualifications:
A. Education
An undergraduate degree in business administration, management, computer systems, computer engineering or related field is strongly preferred. Certification as a Hardware or Software Asset Manager through IAITAM is desirable.
B. Experience
A minimum of one (1) year of specialized experience is required in asset management (or a comparable position) at the organizational level in a professional environment. This position requires an understanding of asset management and asset life cycle to include software licenses and issues such as software compliancy regulations and auditing of hardware and software. Strong research and analytical skills are necessary. Demonstrated sound judgment and ability to work in a team environment with minimum supervision and direction is required in order to perform professional and organizational responsibilities, aid in the implementation of effective supply accountability practices and measures, and provide timely and efficient support to headquarters. Working knowledge of software procurement, license types, and vendors is desirable. Experience with "Unicenter Argis Asset Management" product solution, SQL 7.x or 2000, ability to write MS Access queries are desirable.

Scope: As Asset Mgmt Hardware Coordinator, serve as primary contact for all asset related questions/requests. Comply with and enforce all Asset Management Policy, Process, and procedures. Conduct asset management activities while maintaining a disciplined, fiscally responsible operation. Provide world class support to the client.
Work Environment: High degree of mental and visual concentration required. Must possess ability to cope with medium to high levels of stress that is the result of dealing with constant conflicting priorities and being responsible for results and outcomes. Must be capable of reacting positively to negative or critical customer contacts in a constructive helpful manner.
