Assistant Group Administrator/Assistant Facility Security Officer SED-2010-246
Applied Research Associates (ARA), Inc Santa Barbara has an immediate need for a combined Assistant Group Administrator and Assistant Facility Security Officer in our Nuclear Environments and Systems Assessment Group. The successful applicant will perform daily administrative and security functions in support of a group of 10 physicists and engineers. The position is for 50% time (20 hours per week).
Duties and Responsibilities (Administrative):
Technical Editing: · Typing, formatting, and editing of technical papers, reports, presentations, and newsletters · Creating and formatting tables, graphs, and flow charts Finance · Processing subcontractor and vendor invoices · Processing employee expense reports · Processing purchase orders · Balancing petty cash · Maintaining inventory control · Understanding purchasing requirements and serving as an intermediary to ARA’s corporate accounting staff
Human Resources: · Facilitating benefits information · Monitoring employee time sheets and computer usage logs · Understanding company policies and serving as an intermediary to ARA’s corporate HR staff
Administrative: · Generating and Maintaining eoffice files · Copying, binding, laminating, and scanning documents · Scheduling and supporting business meetings · Setting up conference calls · Routing incoming phone calls to division staff · Assisting with faxes and other distributions of communication · Entering data into spreadsheets or databases · Searching and downloading data and publications from the Internet · Maintaining office appearance and organization
Duties and Responsibilities (Assistant Facility Security Officer):
The Assistant Facility Security Officer supports the Facility Security Officer and develops and administers security programs in the areas of industrial security, computer security, information security, personnel security, special access program security, technology and export control compliance, and physical facility security.
· Develop a clear and concise understanding of ARA business operations. Develop and implement security policies and direction consistent with company, DoD, and other government agencies directives. · Track division compliance with all applicable DSS, DoD, and other federal security regulations. Coordinate with government agencies to obtain rulings, interpretations, and acceptable deviances from established legal compliances. · Obtain, maintain, and terminate personnel security clearances issued to those employees working on contracts for the U.S. government. Assist employees in the preparation of security clearance paperwork. · Maintain compliance records such as personnel security files, visit requests, and document control and accountability. · Prepare and present a variety of security-related briefings to include Initial Security Indoctrination, Security Refresher Training, and Special Need-to-Know briefings. · Perform other security-related administrative tasks such as maintaining door locks, facility key system, and lock combination changing. · Manage day-to-day operation of Closed Areas or other restricted access areas. · Perform security audits and investigate security violations · Assist with preparations for DSS Security Inspections

The successful candidate must have a minimum of a two-year college degree and three years of office administration experience with progressively increasing responsibilities.
Extensive work experience in an office environment as an Office Assistant/Administrative Assistant is required. The candidate should be self-motivated and a pro-active problem solver. He/she must have excellent interpersonal, communication, and customer service skills as well as the ability to organize, multi-task, and prioritize. Strong attention to detail with minimal mistakes is critical. He/she must be able to function in a team-oriented environment and be able to interact with employees and management at all levels.
He or she must possess intermediate level computer skills including experience using Microsoft Office Suite (at a minimum Word, Excel, and PowerPoint) as well as Internet applications. This individual must have the aptitude and ability to accurately process invoices, expense reports, and bank statements.
Job Requirements: · Must be a United States citizen. · Current Security clearance through DOD or non-DOD agency. · FSO Certification highly desirable · Minimum of 3 years of Industrial Security experience. · Must have working knowledge of the current NISPOM, JPAS, E-Quip, DCID, FAR, ITAR
