Sound Transit is currently looking for a dynamic individual for the Configuration Coordinator. Under general direction, the individual in this position will coordinate the preparation and distribution of items being presented to the Change Control Board (CCB); maintain detailed records of activities; coordinate, prepare, and release approved controlled documents; establish and maintain change order authority levels and reports; review, log and transmit completed construction change orders to Contracts department; and maintains completed CCB and change order records in LiveLink and/or Sharepoint.
PRIMARY DUTIES AND RESPONSIBILITIES: The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.
??Maintains Change Management (CM) System database; updates forms as required; trains new employees or new users in CCB database and CCB procedures; assists originators and project control specialists with compilation and completion of change requests; receives completed change requests and backup documentation, formats, proofs, edits and prepares for CCB; writes change requests when project control specialists are not assigned or available; attends weekly CCB coordination meetings to review proposed agenda items for appropriateness and completeness; routes completed change requests for signatures; notifies CCB members and other interested parties of items to be presented at next meeting; prints various reports, compiles and distributes CCB package; attends CCB meeting and records comments and action Items; updates approved change requests as needed; follows up on action items and implementation tasks to ensure completion; obtains ratification signatures; copies and distributes ratified change requests; copies, scans and posts CCB records and approved change requests in records management system(s); coordinates with Sound Transit (ST) Board coordinator for completed CCB items that are to be presented to the ST Capital Committee or ST Board for final approval. ??Receives approved controlled documents; prepares them for publication; creates table of contents and indexes as necessary; and performs controlled document distribution in coordination with the Document Control Center. ??Sets up authority level reports in Primavera Contract Manager (Expedition), tracking change order signatory authority and expenditure limits, and updates reports as needed. ??Receives signed construction change orders, reviews for completeness, records change orders in Change Order Log and forwards to contracts for execution; posts executed change orders electronically in records management system(s).
MINIMUM QUALIFICATIONS: Education and Experience: Associates Degree in construction management, business, office management, or closely related field and three years of engineering, construction, or manufacturing industry change coordination or change processing experience that involves heavy records and data management, communication, and organizational management skills; OR an equivalent combination of education and experience.

Required Knowledge of: ??Design and construction documents including reports, drawings, manuals, and specifications. ??Basic engineering and construction concepts and principles relevant to the design, construction and operation of the capital projects. ??Configuration, change and records management and control concepts. ??Computer software including Access, MSWord, Excel, Outlook, SharePoint, ??Primavera Expedition, JDE, Livelink, Adobe, MS Publisher, Media Player, IE Browser, and internet functions.
Required Skill in: ??Interpreting and administering policies and procedures sufficient to administer, discuss, resolve, and explain them to staff and other constituencies. ??Applying project management techniques and principles. ??Administering and maintaining an efficient records management and control program.
