Overview:
Our New York based creative team is seeking a highly motivated File Manager. This new position will be the nerve center of the department, responsible for facilitating image production on our eCommerce website by serving as a liaison between studios, outside vendors and internal departments to coordinate and drive efficient and timely image processing. The File Manager will also take charge of creating project schedules and job estimates, maintaining workflow records, and routing projects for approval.
Key Accountabilities:
  • Serve as primary contact between cross-functional internal teams, domestic and offshore resources and image department.
  • Partner with photo studios, producers, design team, and account services team to ensure on-time delivery and accuracy of a high volume of digital assets.
  • Partner with internal account services team to confirm that complete and accurate information has been provided to meet benchmarks.
  • Take control of the workflow, ensuring all digital assets move efficiently from studios through external retouching resources and are delivered on schedule to account services.
  • Monitor workloads, creating project schedules, maintaining job files, tracking progress, routing projects and conducting traffic meetings.
  • Enforce adherence to workflow processes and deadlines.
  • Communicate status of all projects through regular reports and daily updates.
  • Partner with cross-functional teams to troubleshoot site issues related to product.
  • Understand the impact of scheduling on the creative budget and make recommendations accordingly.
  • Recommend and implement traffic system and project management process improvements.
  • Develop and maintain traffic management guidelines documentation.
  • Stay current with developments in e-commerce industry and updates to the presentation of the brand and creative look.
  • Work on special projects as necessary.
Skills Summary:
  • BA/BS degree in Liberal Arts, Marketing Communications or other related field.
  • 5 to 7 years of experience in traffic management in an advertising agency or in-house agency environment, preferably in the internet or retail industries.
  • Experience with MS Office Suite, Photoshop and Lotus Notes.
  • Excellent time-management, multitasking skills and an eye for detail required.
  • Excellent organizational, written and verbal communication skills.
  • Must be able to handle a number of projects simultaneously.
  • 3-5 years management experience.
  • Proactive self-starter with an upbeat, positive attitude able to diplomatically enforce deadlines.
  • Must be able to solve problems in an efficient and professional manner.
  • Ability to work independently and as part of a cross-functional team.
