Responsibilities
An experienced executive assistant who can take charge and demonstrate leadership of the day to day activities and forward planning of the office of the Senior Vice President of Human Resources & Real Estate/Facilities of a $600 million plus organization with approximately 7,000 employees in multiple locations around the world while establishing a collaborative and highly motivated team work environment within the HR organization and other executive assistants at the company.
The successful candidate will be a member of the Executive Assistant Team located at the company headquarters in Arlington, VA.
The candidate will bring leadership value by virtue of expertise as an executive assistant who has successfully managed a fast paced and comprehensive work environment at the senior level of a company.
Key responsibilities for this executive will include:
Forward planning of schedules, work products, and priorities
Knowing and understanding key internal and external customers to include their roles, how SVP HR supports the customers and anticipating the needs of the customers
Managing the Sr. VP¿s calendar and appointments and maintaining a corporate monthly calendar.
Scheduling and organizing complex activities such as meetings and travel.
Providing support to and working collaboratively with EA¿s of other Executives while performing primary responsibilities to the SVP of HR.
Processing, organizing and prioritizing large volumes of, confidential and critical information from multiple locations.
Preparing correspondence, reports, meeting agendas, action items, memos, charts, presentations, tables, graphs, etc. requiring considerable initiative where timeliness and accuracy are priorities.
Working independently and collaboratively and within the team on special and nonrecurring and ongoing projects.
Performing as a project manager for special projects, at the management team, which may include: planning and coordinating multiple presentations, disseminating information, providing information to employees about policies and procedures, etc.)
Maintaining databases and prepares reports on a scheduled basis
Creating and maintaining critical schedules of leases and real estate transactions across the U.S.
Qualifications
3+ years experience as an Executive Assistant
7+ years experience as an administrative assistant or similar role
Bachelor's Degree.
Strong Microsoft skills to include but not limited to Word, Excel, PowerPoint and Outlook
Must be able to handle sensitive materials and maintain the highest level of confidentiality.
Position continually requires demonstrated professionalism, tact and diplomacy.
Must be team oriented in working with EAs of other Executives and with members of the Organization.
Experience working with PeopleSoft, Cognos and Deltek.
Position requires continual attention to detail in creating and proofing materials, establishing priorities and meeting deadlines.
Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks. Must be a self-starter; possess strong organizational skills and excellent writing skills.
Experience within a Human Resource Organization is plus.
History of exceeding performance.
Proven track record of success in establishing a collaborative environment.
Prior experience with a Federal government contracting business is a plus.
Strong interpersonal, leadership, and communication skills.
Excellent interpersonal skills. The ability to demonstrate a combination of candor, self-confidence, and persuasiveness that facilitate the building of effective relationships with diverse internal and external audiences.
Excellent communicator. The ability to communicate company direction, issues, results and values in writing and orally. Strong presentation skills. Able to embody an atmosphere of leadership presence and motivation.
Strong organizational, time management and decision-making skills. The ability to manage multiple priorities within a changing, fast-paced, high growth, and hands-on environment.
