We are currently recruiting for a Manager, Office Planning Job Summary The Manager of Office Planning provides short and long term strategic and tactical oversight, direction, and leadership for all aspects of North American Corporate Office requirements. The Manager of Office Planning directs: Office Strategy and Image; Vendor Management; Space Management; Furniture Design and Project Management; Internal Moves; Facility Services; Property Management and Maintenance; Food Services; and communications via Office Services Homepage and direct messaging via E-Mail. COP retains ultimate responsibility and accountability for the organization's corporate facilities function, financial, and strategic objectives
Essential Functions * Coordinates Office Strategy Steering Team comprised of key members from HR, Finance, and CSG Senior Staff to analyze, forecast, develop policies and implement goals and objectives pertaining to long term corporate facility location, sizing, design, and culture. Develops and implements short and long term facility utilization plans based upon strategic goals and objectives 50% * Partners with various departments to ensure growth needs and occupancy requirements are met. May directly manage large projects and critical vendors 20% * Develops Corporate facility operations and maintenance policies, procedures, and work instructions to achieve cost effective management of facilities, related equipment, and furnishings 10% * Supervises Facility Services Coordinators and External Space Planner 5% * Tracks and reports monthly on capacity and utilization; requests for office services; OPEX and CAPEX budget vs. actual 5% * Provides oversight to capital and operating expense budget planning, justification and execution 5% * Manages Food Service Vendors 5%
Job Requirements
KNOWLEDGE, SKILLS, AND ABILITIES . Requires a thorough understanding of corporate alternative workspace planning, office management, furniture design, building construction and associated trades. . Exceptional leadership, interpersonal, analytical, and project management skills are required. . Must have the ability to influence people and make decisions. . Proficiency with Microsoft Office Suite (particularly Excel) and Project Management software is necessary. . Ability to communicate effectively both in an oral and in a concise, businesslike written format are critical
Business Expertise: . Requires Management and oversight of OPEX and CAPEX budgets
Leadership: . The Manager of Office Planning will be required to provide a substantial quantity and quality of leadership with respect to office strategy, project management, and supervision of direct reports . The Manager of Office Planning is a highly visible role that requires the ability to "sell" ones ideas to drive consensus within a matrix decision making organization . The Manager of Office Planning will be required to balance the Opex budget for use of external resources with the limited internal resources on the team to effectively deliver and communicate the policies, procedures, programs, projects and plans for the corporate culture at Iron Mountain. Problem Solving: . Requires substantial Space Planning and Project Management Expertise . Requires ability to timely manage and direct employees, reports, and vendors under pressure and during periods of crisis . Requires ability to manage large quantities of data from multiple sources, perform spreadsheet data analysis, and present findings in a concise businesslike format Nature of Impact: . To create an efficient use of space while promoting an appealing and collaborative work environment for employees . Failure to execute the Manager of Office Planning role flawlessly can result in substantial financial costs in the form of excess rents, business disruptions, missed budgets, sub-optimal procurement, and opportunity loss . Failure to provide change leadership as it pertains to our corporate culture will result in a shortfall in our delivery to our internal customer base. . Minimal Impact on External Customers Area of Impact: . The Manager of Office Planning will be a highly visible role that impacts all North American Corporate Office Facilities with particular emphasis on greater Boston and greater Philadelphia. As needed support to be provided for New York City, Renton, WA, Norcross, GA, Saint John, NB. . All CSG, NAO, and Digital employees housed in the aforementioned facilities will be impacted by the Manager of Office Planning Interpersonal Skills: . Requires strong interpersonal skills with ability to professionally interface with internal customers, Senior Managers, Direct Reports, and Vendors
Travel Requirements: 20% Total travel 10% Overnight travel
