Project Maintenance Specialist


Position Summary



The Project Specialist position is responsible for planning, organizing, and implementing projects in an automotive manufacturing facility. Duties include managing project documentation utilizing Microsoft Excel and Project. In addition the Project Specialist will assist Engineering and Management with specific tasks related to the project. Required computer skills include Excel, Word, Project and Lotus Notes.


 



Duties & Responsibilities




    1. Formal project submittals and project status reviews for Manager and customer.
    2. Bid and estimate labor and material costs to submit to customers for approval and follow up for scheduling on bids awarded.
    3. Assist with design specification, floor plan and interior design reviews.
    4. Assist with the organization and administrative functions during various meetings involving end-user, general contractor, customer and manager.
    5. Create and maintain file system (electronically and hardcopy); file correspondence and other records.
    6. Coordinate and arrange meetings, prepares agendas and schedules, reserve and prepare meeting facilities.
    7. Set-up and closeout project files using MS Office suite applications.
    8. Keep and maintain a Task-List with the Project Team for work that is outstanding and develop a time schedule and priority list for work to be accomplished.
    9. Prepare operation and maintenance manuals, guarantees and submit in accordance with specification requirements on each project.
    10. Assist in establishing, monitoring, and evaluating PM schedules.
    11. Log all new Prime Contracts into document control system.
    12. Assist project teams with initial project set-up and filing, as required.
    13. Assist Admin in submitting monthly payment applications with project required paperwork. Keep accurate billing log and projections.
    14. Prepare and submit all close-out documentation in accordance with specification requirements for each project.
    15. Manage and schedule Subcontractors.
    16. Monitors and provides updates on status of all work orders:

      - Single point contact with customer

      - Order materials and parts

      - Set-up deliveries

      - Set-up labor
    17. Other duties and tasks as assigned.



 


 


 




 


 




Requirements:

Requirements:



  • Bachelor degree with emphasis in technical/skilled trade area and
  • Minimum of 2 years Construction industry experience or experience working within an industrial production and facility maintenance department in an administrative role – i.e. Project Coordinator, Project Assistant or Contracts Administrator a plus.



  • Demonstrated ability to communicate (orally and in writing) effectively to all levels within the organization.
  • Ability to review project scopes and define techniques including interactive development to accomplish the project’s stated goals and objectives for cost, schedule and quality.
  • Proven ability to interpret and use project metrics to effectively manage assigned projects.
  • Experience interacting with business project sponsor, business subject matter experts, project managers, and other key stakeholders on project scope. Develops schedules, performs risk assessment, and manages team communication, quality assurance and issue resolution for large scale cross-enterprise projects.
  • Identify and recommend new and improved processes and practices and assist with their adaptation.
  • Must be proficient in Microsoft office; specifically Excel, Word, Project and PowerPoint.
  • Detail oriented, good organizational skills, able to manage multiple tasks and priorities.
  • Acts with integrity and compliance.


At times may have direct supervisory responsibilities for employees and/or other contractors. Manages and mentors individuals who directly report to this position
