Summary: This position will support the Office of the Deputy Chief Operating Officer (COO), Centers for Disease Control and Prevention (CDC) and the Agency for Toxic Substances and Disease Registry (ATSDR) The Contractor will serve as a senior advisor to the COO. This is a critical role to assist CDC senior leadership and handle confidential information that requires the COO's attention. The contractor shall be familiar with the federal records process and the delegation of authority process for signatures. Contractor shall assist the COO in a professional manner with international visitors, scheduling, presentations and VIP's as needed..

· Provide executive level support to Deputy Chief Operating Officer, Centers for Disease Control and Prevention (CDC) · Conducts complex cross-cutting multi-layered, multi-functional tasks ensuring the flow of information to and from the Office of the Deputy Chief Operating Officer is efficiently and effectively managed, confidentially quarantined as appropriate and that complete briefing material is provided in a timely manner. To the maximum extent possible, accessing and preparation of such material is done utilizing office automation software. · On a daily basis prepare a daily briefing folder with a concise outline of the anticipated events, corresponding reference documents and notations on special issues. · Provide communication links between the Officer of the Deputy Chief Operating Officer and the other offices of CDC and outside organizations. Serves as a key contact for local and national organizations requesting the Officer of the Deputy Chief Operating Officer to address their organization(s). Receives inquiries from health-related organizations, private industry · Ensures calendars and agendas for outside officials are appropriately scheduled. Efficiently plansand schedules meetings and visitors and assures that briefing materials are provided in the proper format. Assures that all logistical arrangements related to speeches are made, and executed. · Organize and manage communications to and from the Office of the Deputy Chief Operating Officer's office regarding policy, procedure, correspondence and other confidential and sensitive information while in compliance with Health and Human Services and CDC guidelines. · Promptly responds to requests for reference or guidance from Principals in the Office of the Chief Operating Officer on matters relating to the day-to-day operations of the office. Disseminates current reference information and updates in a timely manner. · Independently handles complex and routine inquiries. Effectively networks to accomplish tasks, and display a high degree of professionalism when interacting with Deputies, Managers, Principals and guests of the Office of the Deputy Chief Operating Officer. Exercises a high degree of tact, courtesy, cooperation and diplomacy in dealing with people within and outside of CDC. Provides information about the office, its functions, and standard operating procedures to ensure cohesiveness. · Work closely with the Office of the Deputy Chief Operating Officer's staff to include the Chief Operating Officer, Chief of Staff, Principal Deputy Director, Deputies, Scheduling, Travel, Media, and Events Planning teams to ensure requirements are met in a timely manner and provide assistance and clarification to complete tasks and support the mission. · Recommends programmatic and operational processes and procedural changes that will improve the areas of manpower utilization, workload distribution, and work methods and procedures. During complex reviews, applies a myriad of past and currently established policies, regulations, directives, and procedures, and when required expands or establishes new approaches to define and identify courses of action that will contribute to the overall effectiveness of the office. · Continually ensures the Office of the Deputy Chief Operating Officer is in compliance with all federal and state policies and procedures including but not limited to ethical requirements, equipment, travel procedures, document filings, etc. · May provide backfill in absence of support staff to the Chief Operating Officer. · Provide regular monthly reports on activities to the Project Officer.
Minimum Qualifications · Proficient use of the Microsoft Suite with specific attention to Excel and Word. · Must be able to multi-task and meet deadlines as required by assigned projects. · Must have the ability to work in a professional team environment and work collaboratively with others in a time-sensitive setting. · Cheerful, optimistic, outgoing team player who is motivated by challenging work in an exciting Federal program that operates nationwide to protect the health of the public.
The position requires experience of five or more years at the senior project coordinator level working in a health policy environment.
Supervision: This position does not have supervisory duties.
