| Position: Supply Management Coordinator - Full Time (1) Department: Materials Management Location: Primarily Halton Healthcare Services plus backup to other hospital clients Posted: August 23, 2010 Internal Deadline: August 30, 2010 The Credit Valley Hospital (CVH), Trillium Health Centre (THC), Halton Healthcare Services (HHS), and Osler (WOHS) operate Shared Services West (SSW) Regional Materials Management. Since January 2001, SSW's mandate has been to leverage co-ordinated sourcing to provide best value, improve quality of service, and ultimately, to facilitate the reallocation of resources to direct patient care. In 2009, SSW took on all sourcing, logistics and purchasing for the four hospital groups. Moving forward, SSW mandate is to support further hospital initiatives to integrate other appropriate non-clinical services. JOB SUMMARY: The Supply Management Coordinator (SMC) is responsible for timely requisitioning, distribution and replenishment of supplies and products for departments in the Hospitals with high use of medical-surgical supplies. The SMC provides centralized distribution and control of supplies. Under the direct supervision of the SSW Logistic Manager, and in collaboration with the Patient Care Management team, the SMC's role co-ordinates all clinical and non-clinical supply ordering and receiving, and provides back up to other SSW SMCs, as needed. PRIMARY RESPONSIBILITIES: Working closely with the high use departments and Materials Management teams in the coordination of timely requisitioning, receiving, storing, inventory, inspection and distribution of materials & supplies based on the department schedules and needs. Coordinating and overseeing the stock inventory levels, and developing tools and other process improvements for standardization, record maintenance of stock management and replenishment. Responsible for timely distribution of all supplies and products for the OR and other key departments. Maintaining Materials Management database, i.e., ATPAR, SIS. Facilitating equipment repairs with the internal departments and external vendors. Notifying appropriate personnel of back orders and shipping dates, and seeking alternative products as suitable. Initiating routine assessments of both stock and third party inventory, maintaining accurate par/quota levels and making recommendations for adjustment as required. Working with appropriate Purchasing staff to obtain product-pricing information from vendors. Other related duties as assigned. EXPERIENCE/EDUCATIONAL REQUIREMENTS: - College diploma or Certificate in a related supply management field. - Minimum of 3 years of working experience in purchasing administrative capacity. - Inventory management experience. SPECIAL SKILLS/TRAINING/LICENSES OR CERTIFICATIONS: - Intermediate to advanced working knowledge of MS Office applications. - Knowledge of the OR operations, medical-surgical supplies and equipment. - Knowledge of supply management applications including JIT Program and procurement. - Ability to use a computerized inventory system & handheld barcode technology. - Skills in analysis and statistical record keeping. - Progress towards the PMAC designation (asset). - Inventory Management Professional Designation (asset). - Medical Terminology (asset). - Knowledge of Meditech Materials Management module (asset). PHYSICAL REQUIREMENTS: Work requires light to moderate physical exertion. It calls for bending, crouching, stretching, reaching, frequent walking, and pushing and pulling of delivery trolleys.
