UW-System Administration, Office of the Senior Vice President for Academic Affairs is currently recruiting for a University Executive Staff Assistant. Academic Affairs advises and provides leadership and service to the Board of Regents, the President of the UW System, and the institutions in the System in formulating, interpreting, and implementing policies related to academic programs, teaching and learning, and student affairs. The position will work out of Van Hise Hall on the UW-Madison Duties: The University Executive Staff Assistant is responsible for providing administrative and support services for the Senior Vice President for Academic Affairs in UW System Administration. Serving as the Senior Vice President's assistant involves a significant degree of independence in handling issues related to the Senior Vice President's scope of responsibilities and the overall functions of the office. A main portion of this position involves interactions with members of the Board of Regents, Chancellors, Provosts and other leaders from UW System institutions, as well as faculty, staff, and students. In addition, responsibilities include interactions with the Special Assistants and Associate Vice Presidents reporting to the Senior Vice President and other staff in Academic Affairs regarding academic and administrative matters. Duties include representing the office positively to the public through e-mail, mail and/or telephone contact; serving as a resource person to individuals contacting this office; scheduling and coordinating appointments on behalf of the Senior Vice President; conducting independent investigations to gather background information and data required for meetings within and away from the office; independently preparing correspondence; managing complex schedules; maintaining files; reviewing travel expense forms to ensure they conform to internal regulations and policies; assisting in the development of arrangements for special events; reviewing and prioritizing incoming materials for content, important deadlines, disposition, etc. Job Knowledge, Skills and Abilities: A willingness and ability to maintain an effective working relationships with staff and the public and the ability to meet and work effectively with people across multiple levels of the organization. Also required are effective oral and written communication skills, the ability to organize effectively, and the ability to work independently, setting own priorities to meet the demands of the position. In addition, the most highly qualified candidate will have knowledge of computer software applications necessary to perform the duties of the position (including, but not limited to, Word, Excel, Powerpoint, electronic calendar, e-mail, and effective use of the internet).
