    Summary (Scope of the Job)

    Cotton Holdings is actively looking for an Assistant Project Manager (APM) for one of its subsidiaries, Advance Catastrophe Technologies (ACT). The role of the Assistant Project Manager (APM) is to support their Project Managers (PM) in a variety of ways across their projects and internal processes. This position demands a high level of communication, attention to detail, and accountability. In return, the role offers shared bonus potential from jobs. This can be a transitional role for a Project Manager candidate or a long-term role for someone that excels at the needs of the role and enjoys and thrives in a more "behind-the-scenes" support role.

    Key Responsibilities

    • Support and collaborate with the PMs on both tasks pertaining to individual projects, while also supporting the day-to-day systems and processes

    • Communicate and gather information from the teams in the field while helping to be a communication and information conduit to other divisions within the company (Financial, CSR, and Management)

    • The position will require working additional hours and some evening/weekends during CAT events or incredibly busy times to support the PMs

    • The PM is ultimately responsible for completion of all tasks, with the support of the APM. The tasks below are a general guideline of expectations for the APM, but will vary based on time in the APM role, skillset/knowledge, and working relationship with the PM

    • Defined daily, weekly, and monthly tasks, as listed below, which accounts for about 50% of their workload. The APM's remaining time will be spent assisting with project needs, as directed by their assigned PMs, and on additional training, as needed

    • Administering the daily PM audit and notifying their PMs of upcoming milestones or job or communication needs

    • Supporting the job workflow through the PSA software by maintaining job dates, reserves, and documentation. This will also require communication with CRUs or vendors to request the needed information and documentation

    • Check PSA daily for items coming due for that day, add to PM Audit as needed

    • Supporting the job workflow through the Encircle software by checking for job photos, DFRs, sketches, recon notes, and other items pertaining to the project. This will also require communication with CRUs or vendors to request the needed information

    • Helping manage and drive financial projections and invoicing - Collecting invoices from vendors and subcontractors, as well as ensuring the proper information is collected for client billing

    • Helping setup T&M and Xactimate files with job basics. PM candidates will be expected to train and continue to increase their interaction with both software's during their time as an APM

    • Help maintain service standards across all job communication

    • Manage CRU report and address any missing data

    • Audit FR invoicing and job financials. Escalate unpaid invoices, or lack thereof, after 14 days

    • Manage Flash report

    Skills, Knowledge and Expertise

    Education:

    • Bachelor's degree or equivalent work experience

    Experience & Skills:

    • Have a good understanding of a restoration job cycle and the ACT processes surrounding it

    • Have strong computer skills including knowledge of Microsoft Office products

    • Be a good communicator, both verbally and via digital communication

    • Have strong organizational skills

    • Be a self-starter with advanced problem-solving skills

    • Good driving record:

    • Minimum of twenty-one (21) years of age and have a minimum of three (3) years verifiable driving experience

    • No more than 2 moving violations in the past 3 years

    • No repeat seat belt violations

    • No high-speed moving violations in the past 3 years
