  • GENERAL PURPOSE

    The Chief of Staff reports to the Vice President for Equity and Inclusion/Chief Diversity Officer and coordinates all Office of Equity and Inclusion (OEI) activities in support of institutional priorities. The Chief of Staff is charged with maximizing the effectiveness of OEI through strategic planning, change management, implementing streamlined processes and procedures, digital transformation, personnel management, and OEI professional development. The Chief of Staff is deputy to the Vice President for Equity and Inclusion and ensures that the Vice President is positioned for success regarding scheduling, communications, administration, and workflow.

    JOB DUTIES AND RESPONSIBILITIES:

    LEADERSHIP

    • Acts as the principal aide to the Vice President to coordinate all activities in support of institutional priorities.

    • Organizes OEI personnel into flexible interdisciplinary teams to achieve strategic aims

    • Prepares or assists with reports, briefings, presentations, and responses on DEIJ and strategic issues, as appropriate.

    • Serves as a member of the Vice President's Leadership team

    • Supervises, trains, and evaluates all OEI Division Directors

    • In conjunction with division directors, supervises, hires, trains, and evaluates OEI staff to coordinate relevant information and to create/implement workflows and projects that anticipate or respond to needs of the Vice President.

    • Continually improves and seeks professional development opportunities/feedback on supervision style and approaches to better enhance staff development, morale, and cohesion.

    • Scans the horizon for what may happen and what may be coming

    • Manages meeting, strategy, and oversees creation of briefing materials for Vice President.

    RELATIONSHIP DEVELOPMENT & ENGAGEMENT MANAGEMENT

    • Manages Vice-Presidential engagement / prioritize engagement / coordinate with advancement, events, planning, and other liaisons

    • Oversees strategic coordination and management of Vice-Presidential schedule.

    • Maintain a positive working relationship with key internal and external stakeholders; represent OEI well in all communications and actions

    STRATEGY

    • Coordinates leadership team projects, forecasting, and strategy.

    • Gathers data and information and provides analysis for Vice President and leadership team to support executive decision-making.

    • Coordinates OEI team to support and anticipate Vice-Presidential needs, strategic meetings, relationship development, and planning.

    • Researches trends and provides comparative and benchmark data to place office achievements in context.

    • Maintains OEI focus on priority objectives

    • Leads quarterly strategic planning retreat for leadership team, during which priority objectives are clarified, placed in context within the institution's strategic plan, and evaluated for progress

    • Provides guidance regarding best practices for strategic initiatives, including use of digital tools for efficiency and efficacy

    • Ensures that OEI strategic initiatives are in alignment with university strategic plan

    • Analyzes OEI decisions and opportunities using Vice President's approved heuristic and clearly communicates results

    PROJECT MANAGEMENT

    • Manages operations, events, scheduling, staff, and budget in OEI to support institutional priorities.

    • Oversees all OEI interdisciplinary project teams to ensure projects are completed on time and on budget

    • Serves on various cross-functional teams to promote the vision and direction of the Vice President and OEI.

    DIGITAL TRANSFORMATION

    • Conducts annual (minimum) technology analysis to ensure that digital tools are appropriate and sufficient.

    • Makes decisions regarding the optimal technology stack for each DEIJ strategic initiative and project.

    • Deploys Agile methodology to implement innovative strategies without disrupting traditional operations.

    • Designs and develops bespoke digital tools to cut down on manual work and eliminate redundancy.

    • Directs the development and management of relational databases to enhance tracking, reporting, and trendspotting.

    • Leverages technology to support team building and morale.

    • Directs the implementation of technological solutions to increase OEI's reach across campuses.

    PROFESSIONAL DEVELOPMENT

    • Oversees professional development for OEI staff, ensuring that OEI team members are positioned to use DEIJ best practices when completing assignments

    • Designs curriculum for OEI Grand Rounds to consistently expose team members and interested guests to the latest thinking in DEIJ

    • Provides/institutes coaching and mentorship for OEI staff on how to be most effective in the work place

    • Establishes and ensures implementation of workplace standards and behavioral norms

    Other duties as assigned.

    QUALIFICATIONS:

    • Bachelors degree required

    • Master's Degree preferred.

    • 7-10 years of related experience in a leadership role, higher education, academic medicine or related functional area.

    • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at UR required.

    • Ability to collaborate cross-functionally in the office environment and to interface with various university stakeholders and constituents required.

    • Ability to embrace and drive change and to organize and effectively manage multiple priorities, programs, and projects required.

    • Exceptional communication (written, oral, presentation). Demonstrated proficiency designing and delivering presentations required.

    • Strong experience leading teams and developing positive relationships, partnerships, and alliances required.

    • Demonstrated experience with digital transformation and/or designing digital tools to improve efficiency required.

    • Experience managing cross-disciplinary teams required.

    • Experience performing analysis of complex programs and implementing large-scale changes for improvement required.

    • Experience publishing and disseminating research findings in written and/or oral presentation at national/international conferences or venues required.

    • Demonstrated experience coaching direct reports to gain critical professional skills required.

    • Strong operational background with a focus on optimizing processes, streamlining workflows, and improving efficiency required.

    Pay Range

    Pay Range: $138,736 - $208,083 Annually

    The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
