Description of Work Unit
Counseling Services
Counseling Services at the CSU Health Network provides clinical services, outreach and consultation and training services. Our professional staff includes licensed psychologists, licensed clinical social workers, and licensed professional counselors, as well as graduate student staff from each of these disciplines. Our staff provides high quality mental health and substance use services that are easily accessible and support student success. We are dedicated to affirming respect, compassion, and acceptance for all, and we celebrate diversity with regard to all backgrounds and identities. Counseling Services supports the education and prevention mission of the CSU Health Network through presentations and training on mental health topics. Through outreach and consultation, we create collaborative relationships with offices serving students typically underrepresented in higher education and mental health services. Our training program provides post degree fellowship, internship, and practicum training to graduate students in psychology, social work, counseling, and student affairs. Position Summary
The Counseling Services Training Program Coordinator provides administrative support for the Counseling Services Training Program at the CSU Health Network.
The Counseling Services Training Program Coordinator provides support to current clinicians in training as they navigate a 1-2 year clinical training experience. This includes assisting with all aspects of selection, onboarding, orientation, and evaluation for a new group of approximately 20-25 training clinicians annually.
The Counseling Services Training Program Coordinator plays a lead role in ensuring that records are maintained in compliance with accreditation requirements, including gathering data on current program and training clinician performance.
This position reports directly to the Associate Director of the Counseling Services Training Program.

Duty/Responsibility
This position provides administrative support to the Counseling Services Training Director and is a key point of contact for graduate-level training clinicians providing clinical services at the agency. Specifically, this position will serve as administrative support for multiple searches annually.
Psychology Intern Search
This search is under the oversight of the Association of Psychology and Postdoctoral and Internship Center ( APPIC ) and is a national Match process.
Answer applicant questions related to the application process
Schedule all meetings related to the search, coordinating schedules of multiple staff members and assisting in rearranging schedules as needed
Schedule approximately 40 candidate interviews for two interviews (one with committee members and one with the Training Director)
Once scheduled, if a conflict arises with the interview times, devise an alternate time based on limited availability and short turn-around time
Attend all selection meetings and keep notes during meetings
Assist with all aspects of planning two remote open houses for candidates (setting open house schedule, communicating with candidates and staff about scheduling - using Zoom or Teams technology to set up meetings)
Provide any other administrative support needed by the Training Director throughout the search process
Write first draft of offer letter to interns who match to our site
Communicate with HR to facilitate hire process

This position assists with coordinating a three-week intensive training and introduction period in August for approximately 25 new staff.
Gather and assemble welcome packet information about the city and the campus for new staff
Assign, transfer, and, where necessary, order keys; ensure that all new training clinicians have phone access; order business cards; ensure name tags and door signs have been ordered and/or in place; and assign mailboxes for new trainees
Work with HR to ensure that all required paperwork is completed
Work with IT to request all computer privileges
Work with Immunizations to ensure that TB tests are completed and all immunization records are obtained
Create numerous lists such as phone numbers/addresses, credentials, therapist interest, emergency contact list and new staff information
Create a yearbook of trainees and staff to assist in introducing new staff to the agency
Work with the Training Director to shop for and set up welcome activities (e.g., welcome breakfasts or lunch, food for final team building exercise)
Create a preliminary orientation schedule, by assigning times for all trainings over a 3-week period, and then collaborating with the Training Director and staff facilitators to make all necessary modifications to this schedule
Correspond with trainees about training schedules and orientation planning (e.g., parking, special needs)
Reserve rooms for all training events throughout the three-week orientation period (or create Zoom links if trainings are being held remotely)
Clean, inventory, and restock supplies for new staff offices
Send out training documents to all incoming training clinicians, after ensuring that all of these documents have been updated for the current training year (e.g., Training Manual, Policies and Procedures Manual, Yearbook, P5 Manual)
Update training listservs
Draft update of orientation questionnaire and send to Training Director for review; submit updated questionnaire to Campus Labs
Trainee Offboarding Exit Procedures
Provide all training clinicians with exit checklists at the end of their time here and ensure that they have completed all required tasks with signatures (e.g., keys returned, office emptied, forwarding address information provided)
Play a major role in trainee recognition; schedule events, make venue reservations, attain/create menus, place orders for food and gifts, help with setup and clean up for these events, and, as needed, obtain other supplies

Provide support to the Training Director or Assistant Director for Training and Groups on additional projects on an as needed basis

Schedule evaluations autonomously, coordinating multiple staff and trainee schedules and corresponding with individuals as needed to make the changes to schedules necessary to allow all participants to attend these meetings. Reserve rooms for these meetings
Email training clinicians and supervisors all forms that they are required to complete as well as information on evaluation times and Zoom links for staff who need to attend remotely.
Track, collect, and file all evaluation forms for each evaluation period. Ensure that all forms are complete and include the required signatures

This position provides critical on-going support for reaccreditation with the American Psychological Association Accreditation ( APA ) and an important role in preparing for our self-study.
Assist Training Director in remaining up-to-date about current APA accreditation requirements by reviewing Standards of Accreditation and Implementing Regulations (or comparable documents if these change) on an annual basis
Assist in collecting and organizing all data required for re-accreditation and completing the documentation involved in the reaccreditation process (e.g., writing the self-study). This will involve collecting and organizing data on the past ten years of trainees, and creating graphs and tables to present this data
Work to ensure that we have copies of all the necessary evaluations
File/request copies of internship completion certificates
Gather copies of syllabi for all training seminars
Update spreadsheet used to enter and track APA required data in accordance with changing APA requirements
Gather and enter data annually from current trainees, recent graduates, and senior staff for the APA annual report
Maintain spreadsheet of APA required "proximal data" (evaluation scores) for doctoral psychology interns
Ensure that post-internship data is collected for former psychology interns and entered into spreadsheets to ensure compliance with APA requirements for distal data
Assist in collection and preparation of data for the APA Interim Report
Create file folders for all trainees annually and ensure that the appropriate records are collected and filed there including application materials, offer letters, mid-year and end of year letter to Training Director, work plans, all evaluation forms with appropriate signatures, work samples, and certificate of completion
