Project AdministratorNashville, TNJob DescriptionPrimary Responsibilities:Provides overall administrative support to the managers and superintendents. Owns direct responsibility for submitting payroll to accounting, tracking project correspondence, documentation, and overall billings. Represents BMCC administratively with our customers, vendors, subcontractors, other BMCC service groups, and our field supervisors.PrincipalDuties and Accountabilities:+ Trace monthly billing process to confirm that billings are submitted to general contractor on time and that expected payment dates are monitored and late payment reported to project manager for follow-up.+ Maintain an office calendar of project manager activities, meetings, travel, vacation, etc.+ Submit payroll to accounting.+ Help with maintaining and tracking purchase order/submittal logs.+ Help with distributing, logging, and tracking submittals, equipment production, delivery, O&M data, warranty, freight claims and warranty replacement part returns.+ Credit tracking and verification.+ Equipment, fixture and sub invoice processing, verification and filing after project manager approval.+ Maintain project files and drawing logs.+ Call subs and vendors for change or pricing.+ Make project manager travel arrangements.+ Type correspondence and proposals.+ T&M ticket pricing extension billing.+ O&M manuals and start-up book assembly.+ Copy and fax documents; manage document reproduction.+ Assist project manager in scheduling and facilitating "Operational Meetings".+ Help with managing monthly billing requirements i.e. owner financial insurance, sales tax exemptions, owner purchasing, certified payrolls, etc.+ Maintain and track the critical process list i.e. signed contracts, certificate of insurancesfor Proposal log.Skills & RequirementsKnowledge, Skills & Abilities:+ Minimum of 3 years of construction related administrative/light accounting(payroll) experience.+ Must be able to multi-task and possess excellent organizational, communication and interpersonal skills.+ Experience in Textura (billings) and About Time (payroll) is a plus but not required.Bernhard is an equal employment opportunity employer.
