    Our super high-visibility client is seeking a Project Manager to provide a large variety of tasks related to outreach events and award programs. This PM will also be responsible for operational backup support for the execution of Research Grants and Sponsorships and the onboarding of Consulting Researchers.

    Event and Awards Program Logistical Support:

    • Manage multiple email mailboxes by responding to FAQs in a timely manner and filing resolved emails

    • Order and ship certificates for award recipients of several programs

    • Work with the legal department and external academics on getting preapproval per policy (sending email, connecting them with travel desk, process reimbursements, etc.)

    • Research participation at various conferences for updating the website

    • Schedule conference calls between demos and researchers across various time zones

    • Update various award programs in order to enable application submission

    • Help reconcile event hotel list against the master attendee list

    • Manage surveys after event

    • Set up SharePoint sites to collect nominations for events

    • Update and maintain event data accuracy in spreadsheets

    • Work with program managers and academics to collect agenda and speaker details to update website

    • Create online registration pages for events

    External Funding Operational Support:

    • Daily management of multiple email mailboxes, weekly filing of all resolved or out of date emails

    • Manage funding and reimbursement requests through to completion

    • Ensure all necessary legal contracts and business form letters are drafted accurately and executed correctly

    • Work with onboarding agency, tax team, travel booking, etc.

    • When necessary confirm the office, equipment, and access account of new consulting researchers are in order

    • Respond to FAQs and provide minor troubleshooting guidance to payment recipients

    • Work with internal accounts payable department to troubleshoot any major issues through to resolution

    • Ship checks and other documentation to external recipients

    • Maintain at all times accurate details and status updates in the tracking tools (CRM and Excel)

    • Proactively communicate in a highly professional and timely manner with frequent updates and guidance for what is needed and what to expect

    • Update OneNote documentation if there are procedural or tools change

    • Escalate issues to Program Manager as needed


    • 3-5 years administrative or project coordination experience in fast-paced environment

    • 3-5 years using Microsoft Outlook, Microsoft Excel, Microsoft OneNote and Microsoft Word programs

    • 1+ year(s) of continuous experience with a large company (1000+ employees) required

    • Experience managing, prioritizing and responding to high volumes of emails (~30-60 daily)

    • Quality professional communication (both written and verbal)

    • Ability to interact in a professional manner with all levels of management

    • Strong attention to detail and organization

    • Exceptional written skills

    • Comfort using online, web-based forms and tools

    • Experience handling multiple projects at the same time

    • Demonstrated ability to change direction in response to changing work situations

    • Must be proactive, able to deal with ambiguity, self-prioritize work resources, and juggle multiple tasks in a manner transparent to the team

    • Must have the ability to work independently to achieve results with a high degree of accuracy

    • Ability to work successfully in a team environment and build effective working relationships inside and outside of the group that involve contact at all levels of management

    • High level of interpersonal skills and ability to accommodate working styles and perspectives of diverse individuals

    • Ability to be entrusted with the knowledge and handling of confidential information
